This page talks a lot about running Microsoft 365 properly, which is fair if you already pay for it. Plenty of owners do not. They are on a free personal address, a Google account, a laptop with the files on the desktop, or some combination nobody planned. You are not behind. You are just at the beginning, and the beginning is the easiest place to get it right.

Microsoft 365 Business Standard is billed per person per month, and that one licence carries mail, calendar, files, Teams and the Office apps. There is no minimum number of seats, so a business of one can start on it. What we charge to move you across is quoted after we have seen how many addresses and how much history you are carrying, and you get that number before you commit to anything.

It is the cheapest thing on this page to fix and the first thing a customer notices. An address at your own business name costs a few dollars a month and takes a morning to set up properly. Most owners put it off because they are afraid of losing fifteen years of email. You will not lose any of it.

How the move goes

A morning of work, spread over about two weeks.

The reason it takes two weeks is not effort, it is caution. Mail routing changes need time to settle across the internet, and we keep the old address alive the whole way through so nothing is ever in the air.

Step one
We look at what you actually haveWhich addresses exist, who uses them, what is forwarding where, and what is quietly broken. Most businesses find at least one address nobody has checked in a year.
Step two
We set up the domainIf you own your business name as a web address already, we use it. If you do not, we register it. Then we prove ownership and set the records that stop other people sending mail as you.
Step three
We move the mailOld messages, contacts and calendar entries copy across while you keep working. You are not offline and you do not have to stop taking bookings for a day.
Step four
We switch the sign overNew mail starts arriving at the new address. The old one keeps forwarding for as long as you like, so a customer with a card from 2019 still reaches you.

The email address is the smallest change we make, and it is the one customers comment on first.

Will I lose my old emailNo, and this is the part people worry about mostEverything in your current mailbox copies to the new one before anything is switched off. You keep the old account too. We do not delete anything, and we do not need you to trust that. You can open both side by side and check.
Will my customers noticeOnly in a good wayMail sent to your old address still reaches you. Your reply comes from the new one, so people update their address book on their own without being asked. Nobody has to be told anything.
What if I already have a domainThen most of the work is donePlenty of owners bought their business name years ago for a website and never used it for mail. If you own it, we point it at Microsoft 365 and you are on your own address the same week.

Records that hold up

The certificate expired and the job stopped.

Every business runs on paper it hopes it will never need. Waivers, insurance certificates, licences, vendor documents. They matter on exactly one day, and that is the day somebody asks for them. The problem is almost never that the document does not exist. It is that nobody can find it, or nobody noticed it lapsed.

The failureIt was in an emailThe vendor sent the certificate. Somebody opened it, thought it looked fine, and left it in the inbox. Two years later that person has left, the mailbox is gone, and the certificate is with it.
The failureNobody was watching the dateThe document was filed correctly and it was still wrong, because it expired in March and nobody looked at it again after the day it arrived. A folder does not tell you anything has gone stale.
The fixThe document knows what it isWhen a file lands, it is tagged with what it is, who it belongs to, and when it stops being valid. That is what turns a pile of documents into something you can ask a question of.
The fixThe date watches itselfAnything with an expiry raises its hand before it lapses, not after. You get told in time to do something about it, which is the entire difference between a reminder and a problem.
